About the role :
This position is responsible for providing proactive practice support and administration support to the Partners and Lawyers of the Firm primarily in relation to billable client work, and ensuring clients are serviced in a professional manner and in accordance with the Firm’s policies and procedures. This includes being part of a client matter-related processes from matter inception to project completion, billing and collection.
Administrative
-Greet visitors to the office and ensure correct recording of the visitor details.
-Handle and manage all phone calls, emails, calendar, meeting rooms and requests both internal and external.
-Arranging meetings for Partners and Lawyers internally and with external stakeholders.
-Act as a point of liaison to assist in outsourcing external services such as copy / print production / couriers.
-Arranging travel and accommodation in Local, National, and International locations for Partners and Lawyers.
-Provide first level IT support to staff and guests. This includes printing set-up, video conference assistance, trouble-shooting IT errors and sourcing assistance, as necessary.
-Arrange meetings to Practice / group meetings / training / external & internal stakeholders / visitors / functions & events / catering.
-Process expense claims for Partners, Management and Lawyers.
Matter Management
-Organise and ensure smooth running of client and Matter-team meetings and updates.
-Matter project administration (from the opening to the closing of a matter including setup matter in Actionstep, updating email distribution lists, to support post-closing activities such as binding, archiving, and ensuring that all appointments and conference calls are in the Partners & Lawyers calendars).
-Client and Matter-team meetings and updates.
Commercial / Billing / Collection
-Support billing and collection tasks including - drafting bills, amending narratives, disbursements, and drafting accompanying bill letters.
-Liaise with the Finance team and dispatch invoices to clients safely.
Business Development
-Support Partners and Lawyers with Business Development activities.
-Organise, facilitate, and provide host support for events where required, including virtual events.
-Facilitating updates to clients.
-Amend business development and client focus materials including CV’s, pitches, presentations, and client briefings etc.
Qualifications, Skills and Experience
Eligible to work full-time in Australia
2 years + of work experience
Fluent in English and Korean
